How to Write a System Prompt That Makes Your AI Agent Sound Human

A weak system prompt produces a robotic, generic chatbot. A great one produces an agent visitors can't tell isn't human. Here's how to write one.

What is a system prompt?

A system prompt is the set of instructions you give your AI agent before any conversation begins. It defines persona, tone, knowledge boundaries, and rules.

The anatomy of a great system prompt

Persona definition

"You are Aria, a friendly and knowledgeable assistant for Acme Agency. You help visitors understand our services and book discovery calls."

Tone guidance

"Respond conversationally and warmly. Use simple language. Avoid jargon. Use short paragraphs."

Knowledge boundaries

"Only answer questions about Acme's services. If asked about competitors, acknowledge them neutrally and redirect to what makes Acme unique."

Escalation rules

"If a visitor asks to speak with a human, immediately initiate a handoff to the team inbox."

Common mistakes

  • Too vague: "Be helpful" gives the AI no guidance
  • Too restrictive: Listing every possible question kills natural conversation
  • No persona: Generic agents feel robotic

Testing

After writing your prompt, test it with 10–15 realistic visitor questions. Adjust wherever the responses feel off.
